1. Who we are and what this covers
This Privacy Policy explains what information Imtehan (“we”, “us”) collects when you use imtehan.pk (the “Service”), how we use it, and the choices you have. Imtehan is an independent project run by students. Habib University does not operate this site, does not receive your data from us, and is not responsible for it. By using the Service or signing in, you agree to this Policy and to our Terms of Service.
2. Information we collect
Account information. When you sign in with Google we receive your name, email address, and profile picture from Google. We store these, the school track you pick (for example DSSE or AHSS), your role on the site, and sign-in timestamps. We never see or store your Google password.
Study activity. Practice and mock test attempts, answers, scores, and timing; essay drafts you save; and any other tool output you choose to keep in your account.
Mock interview submissions. If you request a volunteer mock interview, we store what you enter on that form, which may include your name, WhatsApp number, intended field, application ID, gender, test and interview dates, preparation notes, questions, and any files you upload (such as an admit card or ECA document). These are stored so a student volunteer can review them and contact you. Only share what you are comfortable with; uploads are optional unless the form says otherwise.
Help and support messages. Messages sent through the help button, email, or WhatsApp, along with the page you were on and, if signed in, your account details.
Usage and device data. Pages visited, referring site, browser user-agent, approximate country, and timestamps. We set a random visitor ID cookie (hb_vid) to count unique visitors and to link guest activity (for example a practice quiz finished before signing in) together. We also record class-locator searches and schedule tool usage in aggregate to improve those tools.
Email delivery data. When we send you an email (for example a welcome or interview confirmation), our email provider reports delivery status such as delivered, opened, or bounced, which we log.
Schedule maker. Screenshots you load into the schedule maker are processed in your browser to read the text. The image itself is not uploaded to our servers.
3. How we use information
- to create and secure your account and keep you signed in;
- to save your progress, score attempts, and show your dashboard;
- to arrange volunteer mock interviews and let a volunteer contact you;
- to respond to help requests and support messages;
- to send service emails (welcome, confirmations, replies). We do not send marketing emails without your consent;
- to understand how the site is used, fix bugs, and improve content and tools;
- to detect abuse and enforce our Terms.
We do not sell your personal information and we do not use it for advertising.
6. Data retention
We keep account and study data for as long as your account exists so your progress is available to you. Mock interview submissions and their uploads are kept while the request is open and for a reasonable period afterwards for follow-up, after which we may delete them. Usage logs are kept in aggregate or for a limited time for analytics. When you delete your account, your profile, attempts, essays, and interview submissions are deleted; some records (such as email delivery logs or help messages) may be retained in anonymised form or as required for security and legal purposes.
7. Security
We use HTTPS, Google-managed authentication, and access controls that limit the admin area to the site maintainers. However, no online service is completely secure, and Imtehan is a volunteer student project without a dedicated security team. Please avoid uploading highly sensitive documents (for example national ID cards or bank details) and use the Service with that in mind.
8. Your choices and rights
- Access and correction: you can view your profile and activity from your dashboard.
- Deletion: email us to delete your account and associated data. We will confirm once it is done.
- Withdraw uploads: you can ask us to remove a specific interview submission or file at any time.
- Google access: you can revoke Imtehan’s access to your Google account from your Google account security settings.
- Cookies: control or delete them in your browser settings.
Depending on where you live you may have additional rights under local data protection law (for example to object to or restrict processing). To exercise any right, contact us using the details below.
9. Children
The Service is intended for prospective university applicants and current students. It is not directed at children under 13, and we do not knowingly collect their data. If you are under 18, please use the Service with a parent or guardian’s knowledge. If you believe a child has provided us personal information, contact us and we will delete it.
10. Where data is stored
Our servers and providers may be located outside Pakistan. By using the Service you understand that your information may be transferred to and processed in other countries with different data protection laws.
11. Changes to this Policy
We may update this Policy from time to time; the effective date at the top shows when it last changed. Material changes will be flagged on the site. Continued use after a change means you accept the updated Policy.
